Note Document updating is available only for documents and Single File Web Pages (MHTML) (Single File Web Page (MHTML): An HTML document saved in MHTML format, which integrates inline graphics, applets, linked documents, and other supporting items referenced in the document.) in Microsoft Office Word 2003, Microsoft Office Excel 2003, Microsoft Office PowerPoint 2003, for documents only in Microsoft Office Visio 2003, and for XML files in Word and Excel.
Do one of the following:
Open a shared attachment sent to you in e-mail
Security Open files from a trusted source. Question messages, attachments or files from unexpected sources. If a file has an unusual filename, timestamp, extension, file size, or other property, do not open the file. Always scan files with antivirus software before opening them. In the course of infecting a hard drive or a Web server, some viruses may create files or overwrite existing ones. If opened, these files may cause harm to your system. Make sure your server is running up-to-date antivirus software. For more information, contact your Web server administrator or Web site hosting company.
- Double-click the attachment to open it in a Microsoft Office program.
- When you are prompted to get updates, do one of the following:
- If you want to update the content of the Shared Workspace task pane and to find out if the workspace copy of the document has more recent updates than your copy, click Get Updates.
Note As you work on your copy of the document, Office periodically gets updates from the Document Workspace and makes them available to you.
- If you just want to start working on the document, but you don't want Office to check the Document Workspace for updates, click Don't Get Updates.
Note You can still get updates manually by clicking Get Updates in the Shared Workspace task pane.
- If you want to work on a document copy that is independent from the Document Workspace, click Don't Ask Again, and then click Disconnect.
Your copy of the document is no longer associated with the Document Workspace, and you cannot get updates for the document, but the Document Workspace and its members are not affected.
When you are ready to share your copy of the document, save the document. Then, on the Status tab
in the Shared Workspace task pane, click Update Workspace Copy.
Your copy of the document becomes the Document Workspace copy, and other members of the Document Workspace can get updates from that workspace copy, resolving any conflicts that emerge.
Note Details of how to merge changes and resolve conflicts between copies of the document differ among Word, Excel, PowerPoint, and Visio.

Note Commands described in this procedure are available only in Microsoft Internet Explorer 6 or later.
- In the document library that contains the document, point to the name of the document, click the Edit arrow that appears, and then click the command for editing the document in your Microsoft Office program.
- Do one of the following:
- To edit the workspace copy of the document directly, work on the document in Office, and then click Save on the File menu.
Note Your changes are saved in the workspace copy, and other members of the Document Workspace can get updates from the workspace copy, resolving any conflicts that emerge.
- To save your own copy of the document, which you can update with changes made to the workspace copy, click the Documents tab
in the Shared Workspace task pane, click the name of the currently open document, and then click Save Updatable Copy.Note You can get updates from the Document Workspace by clicking Get Updates in the Shared Workspace task pane. When you are ready to share your copy of the document, save the document. Then, on the Status tab
in the Shared Workspace task pane, click Update Workspace Copy.
