Prospective clients expect to see first-rate presentations, so it's vital to create presentations that are concise, well organized, and developed around customer expectations. It's also important to use visuals that are compelling and memorable. Fortunately, design tools such as Microsoft Office PowerPoint 2003 and Microsoft Producer for Microsoft Office PowerPoint 2003 make it easier for you to create professional-looking presentations that include graphs, animation, and video to highlight your key points — and help you create that ideal balance between hard data and persuasion.

The demo opens with a title card that displays the text Prepare effective sales presentations.

I've got a sales presentation coming up, and I really want it to shine.

A PowerPoint presentation appears. The first slide is titled Business Challenges. Other slides appear in succession: Organization Chart, Financial Data, Manufacturing, and Product Sales.

I know from experience that my customers don't have time to read and remember everything in my presentations. They check out the main points and look at the visuals. I've got to hook my audience visually, or I'm going to lose them.

The scene changes to a slide titled Our Vision. The pointer clicks Insert on the menu bar, points to Pictures, and then clicks Clip Art. The Clip Art task pane opens. The word quality is already entered in the Search for box. The pointer clicks Go to the right of the search box. A preview of the clip art appears in the task pane. The pointer clicks the preview, and the clip art appears on the Our Vision slide.

Adding clip art is one way to make a presentation more interesting. Clip art is easy to use and provides ready images. I can search for what I need and then drop it into PowerPoint.

The pointer clicks Insert on the menu bar and then clicks Chart. A column chart appears on a slide titled Adventure Works, which also displays a PowerPoint datasheet with the file name Company Background.ppt in the foreground. The pointer moves to the menu bar, clicks Edit, and then clicks Import File. The chart on the slide is animated, showing the chart being magnified several times.

If I want to use charts and graphs, I can import Excel sales data right into my presentation. I can also add animation to highlight points I want to make.

The scene changes to a Producer presentation. The pointer clicks the Import Video icon, and then drags the video file OMMO.wmv to the Video field. The video starts to play. Then the pointer clicks Publish on the menu bar, and the Publish Wizard starts.

If I use Producer with PowerPoint, I can even add video. I can then publish the presentation to a Web site or put it on a CD to give to my customers.

The scene changes to the Producer presentation, which shows a video in progress on the left and a PowerPoint slide titled The Business on the right. The video continues to play, and the slide titled Product Sales appears on the right.

Whether I've got an hour or a week, these tricks are a real help. My new and better presentations keep my audience with me so that I've got a better chance of making the sale.

The Producer presentation disappears. The text Microsoft Office appears with the Microsoft Office logo, and under them the URL http://www.office.microsoft.com appears.
