Why, where, and how to record a PowerPoint broadcast

Do you want to broadcast a Microsoft PowerPoint presentation to a group of people, but know that not all the participants can attend at the same time? You can record and save your broadcast so that the members of your audience can play back the broadcast when it's convenient for them.

With presentation broadcasting, you can deliver a presentation, including video and audio narration, to an audience with members who are at different locations. When you record a broadcast, the audience members can also play back the broadcast at different times.

Record and save a presentation to a shared location for others to play back

1 Presenter's monitor. This is the view of the presentation that the presenter sees onscreen. Note that no video representation of the presenter is shown, even if the presentation includes live video.

2 Microphone. (These come in all shapes and sizes. A microphone is only required if you want to include audio with your broadcast.)

3 Computer video camera or a standard analog video camera with a video capture card supported by Windows Media Technologies. (A video camera is only required if you want to include video with your broadcast.)

4 Saved presentation on shared location.

5 Audience view. Note that the view for the audience includes live video (if the presenter chooses that option) in the upper-left corner of the browser window. Audience members access the recorded presentation from the shared location at their convenience.

When you record a broadcast, you can reach a larger audience (more than 10 computers) without using a Media Server or third-party Windows Media™ service provider. This assumes that the number of participants that play back the broadcast at the same time is equal to or less than the user limit set on the file server. However, the file server that is hosting the broadcast may be slowed down because the playback streams are separate and not served out by a Windows Media Services Server.

Recording a broadcast also gives you the chance to review the broadcast and make any changes you want, or correct any mistakes that might have occurred during the initial broadcast. However, you cannot re-record just one slide; you must record the entire broadcast again to make changes.

Where can you record and save a presentation broadcast?

You can record and save a presentation broadcast to a network location or to a location on your computer's hard disk. The final broadcast should be stored in a shared location so that other people can access the broadcast. So, if you record the broadcast to your local hard disk, make sure you share the broadcast folder, or move or copy the folder to a shared location before inviting your audience to view the broadcast.

You cannot record a presentation broadcast to a Web address (URL); you receive an error message if you enter an http:// location in the Save broadcast files in box in the Broadcast Settings dialog box. However, you can record your broadcast files to the universal naming convention (UNC) path of your Web server (for example, \\servername\sharename, and then provide your audience with the correct URL (address) for the Web site on that server.

To record the presentation

The Record and Save a Broadcast command may be unavailable if you have selected to use a third-party Windows Media service provider. Currently, no third-party providers offer a service for recording and saving a broadcast. If you have other Windows Media server options, change this option in the Broadcast Settings dialog box, and the Record and Save command will become available.

  1. Open the presentation that you want to broadcast.
    The presentation must be saved before you can record the broadcast.
  2. On the Slide Show menu, point to Online Broadcast, and then click Record and Save a Broadcast.
  3. Make any changes you want in the Record Presentation Broadcast dialog box. This information appears on the lobby page of your broadcast.
  4. Click Settings in the Record a Presentation Broadcast dialog box.
  5. On the Presenter tab, under File location, type the file location in the Save broadcast files in field.
  6. If necessary, change audio or video settings.
  7. Click OK to save broadcast settings.

    Note  These settings apply to all broadcasts from a particular computer, not just to the presentation you are preparing to broadcast. You should check these settings before broadcasting each time, to ensure that they reflect your preference for that broadcast session.

  8. In the Record Presentation Broadcast dialog box, click Record.
    If you are using a microphone or video camera, tests will be performed automatically.
  9. When you are ready to record, click Start.

    When the Microsoft Internet Explorer window appears with the title slide for your presentation, you can run the presentation as you would any other presentation. When you have clicked to exit the presentation, a message appears to confirm that you have recorded and saved the broadcast and the file location for the broadcast.

Note  You cannot see yourself in video display while you deliver a presentation, so be careful not to move from the position you were in during the video test or you may move out of camera range.

Playing back a recorded presentation broadcast

As the presenter, you can play back a recorded broadcast by clicking the Replay Broadcast button in the dialog box that appears telling you that you have completed the broadcast, and then clicking the Replay Broadcast button that appears on the lobby page. The lobby page is a page of information about the broadcast that is displayed in the viewer's browser before the broadcast begins.

When you record a broadcast, your presentation is saved in Hypertext Markup Language (HTML) format. You can also play back the broadcast by double-clicking the HTML version of your presentation, presentationname.htm, located in the folder you saved the broadcast files to, and then clicking the Replay Broadcast button that appears on the lobby page. For example, if you recorded a broadcast of the presentation Budget.ppt to the \\Servername\Share\Presentations folder, double-click the file:

\\Servername\Sharename\Presentations\Budget.htm

After reviewing your broadcast, you are ready to share your presentation with your audience. If you recorded the presentation to a shared location, all you need to do is send the location to your audience. If you recorded the presentation to a location that is not shared, such as your computer's hard disk, you need to share the folder that contains the recorded broadcast, or move the recorded broadcast to a shared location.

Moving the recorded broadcast

If you recorded the broadcast to a folder that is not shared and want to move the recorded broadcast to a shared location, be sure to move the entire broadcast folder along with the associated presentation file (in HTML format) to the shared location. For example, if you recorded a broadcast of the presentation Budget.ppt, move the entire Budget_files folder and the Budget.htm file to the shared location. Then send your audience the link to the recorded presentation at the shared location.

Sending your audience the broadcast link

When you finish reviewing your broadcast, and the broadcast files are saved to a shared location, it is time to send the location to your audience and let them know where they can view the broadcast. For example, you can send the location of the broadcast file to your audience as a link in an e-mail message with a brief note instructing the audience to click the Replay Broadcast button on the lobby page to start the presentation.

Sample locations to send to your audience:

Web   http://Webserver/Sharename/Presentations/Budget.htm

Network   \\Servername\Sharename\Presentations\Budget.htm

Tip  A quick way to copy the correct location to your broadcast is to play back your recorded broadcast either by clicking the Replay Broadcast button after recording, or by double-clicking the presentationname.htm file. When the lobby page is displayed in the browser, you can copy the URL (address) from the browser Address box and paste this in an e-mail message to send to the audience.
