Export InfoPath form data from a library to a spreadsheet
 

InfoPath Forms Services is a server technology, available in Microsoft Office Forms Server 2007 and Microsoft Office SharePoint Server 2007, that enables users to fill out Microsoft Office InfoPath 2007 forms by using a Web browser instead of, or in addition to, the Office InfoPath 2007 client program. This technology allows wider access to forms than was possible with previous versions of Microsoft Office InfoPath.

This article explains how to export Office InfoPath 2007 form data from a library on a server running InfoPath Forms Services.

Before you begin

To export the form data from a library to a spreadsheet, you must do the following:

Ensure that the form template designer enabled property promotion  When property promotion is enabled for a Microsoft Office InfoPath 2007 form template, the data from a form based on that form template can be displayed as column values in a library or as a folder view in Microsoft Office Outlook 2007. Ask the form template designer in your organization if the form template supports property promotion.

Create a custom library view  By creating a new view, you can help to ensure that you export only the relevant data. You can customize the view to show only the InfoPath forms and column values that you want. If property promotion is enabled for the form, you can make sure that the columns that show the data from those fields are added to the view.

Export InfoPath form data

To export the data from InfoPath forms in a library, use the following procedure.

  1. If the library is not already open, click its name on the Quick Launch.

    If the name of your library does not appear, click View All Site Content, and then click the name of your library.

  2. On the View menu View menu, click the name of the view that you created.
  3. On the Actions menu Actions menu, click Export to Spreadsheet.
  4. In the File Download dialog box, click Open.
  5. Microsoft Office Excel 2007 opens with a new workbook.

     Note   A Microsoft Office Excel Security Notice dialog box may appear. If you trust the source of the data, click Enable to continue the export and create the workbook.

 Note   The data that you export to a spreadsheet is a snapshot of the data from the list. The data in the library is not linked to the data in the spreadsheet. If the forms in the library are updated later, the data in the spreadsheet is not updated.
