Export data from Access into Word or Excel

You're developing a Microsoft Office Word document or Microsoft Office Excel worksheet, but part of the information has been created with Access. Instead of manually re-entering information, you can easily export your Access data into Word or Excel to save time and effort.

Export Access data into Word

  1. In the Access Database window, under Objects, click Objects, Queries, Forms, or Reports.
  2. Click the name of the table, query, form, or report that you want to import into Word. To import a selection of a table, query, or form datasheet, open it and select the portion that you want to import before continuing.
  3. On the Tools menu, point to Office Links, then click Publish It with Microsoft Office Word.

The output is saved as a Rich Text Format (.rtf) file in the default folder. Word automatically starts and opens the file.

  1. To place the data from the newly created .rtf document into your existing Word document, use the Copy and Paste commands.

Export Access data into Excel

  1. In the Access Database window, under Objects, click Objects, Queries, Forms, or Reports.
  2. Click the name of the table, query, form, or report that you want to import into Excel. To import a selection of a table, query, or form datasheet, open it and select the portion that you want to import before continuing.

 Note   If you have a main form with one or more subforms, or a main report with one or more subreports, only the data in the main form or report is imported into the workbook.

  1. On the Tools menu, point to Office Links, then click Analyze It with Microsoft Office Excel.

The output is saved as an Excel file (.xls) in the default folder. Excel automatically starts and opens the file.

  1. To place the data from the newly created Excel worksheet into your existing Excel worksheet, use the Copy and Paste commands.
