Manage your mailbox V: Retrieve, back up, or share messages

Click Play to see an animated example of opening an Outlook data file.

To find messages that you've stored in a PST file, you'll open Personal Folders or Archive Folders in the Navigation Pane by clicking the plus sign next to it.

If you don't see the folder you want in the Navigation Pane, you'll need to open the PST file.

Click Play to see an animated example of these steps.

Now is a good time to mention that with PSTs, you can have too much of a good thing. If you choose to use multiple PST files, a best practice is to limit the number of open files to fewer than ten (and to be aware of their sizes). If you have more than ten files open at one time, or if you have really large PST files open, Outlook will be slow when you start it and when you search for messages (we'll talk more about searching later on in this course).
