1. Select the shape at the highest level of the section of the chart you want to rearrange. Then, on the Organization Chart menu, click Arrange Subordinates.
2. Click the layout style you want, and then click OK.

Tip

Changing reporting relationships can affect the appearance of your chart. You can click the Re-layout button on the Organization Chart toolbar to see the best possible layout while maintaining your layout choices.

• On the Organization Chart menu, click Re-layout.

The shapes in your organization chart are automatically arranged in the best way possible, while maintaining your layout preferences.

Tip

You can also click the Re-layout button on the Organization Chart toolbar.

• On the Organization Chart menu, click Best Fit to Page.

Microsoft Office Visio determines the best layout and spacing to fit the maximum number of organization chart shapes on the page.

Note  If there are too many shapes, they still might not fit on the drawing page. In that case, try decreasing the size of the shapes. On the Organization Chart menu, click Options. On the Options tab, under Shape Display, change the values in Width and Height, and then click OK.

Tip

1. Select the top-level shape of the department or group you want to copy to a new page, and then, on the Organization Chart menu, point to Synchronize, and then click Create Synchronized Copy.

Note  Shapes that have pictures include the pictures in the synchronized copy. You might want to consider deleting the pictures before creating the synchronized copy of the shapes, because each instance of the picture greatly increases the drawing file size. Also, if you don't see a picture for a shape, it might be hidden. Right-click the shape, and then click Show Picture.

Tip

You can also right-click the shape, and then click Create Synchronized Copy.
2. In the dialog box, choose whether to place the copy on a new or existing page, and whether or not to hide the subordinate shapes on the original page, and then click OK.

Note  You can't place the synchronized copy on the same page as the original shape or on the same page as another synchronized copy of the same shape.

3. To display the original page, click a page tab at the lower-left corner of the window. To show hidden subordinates, right-click the manager shape, and then click Show Subordinates.
4. To link the synchronized shapes, select the shape on one page, and then, on the Insert menu, click Hyperlinks. Next to the Sub-address box, click Browse, and then choose the page that contains the copy. Click OK, and then click OK again.

When you rest the pointer on the shape, the pointer changes to indicate that the shape has a hyperlink. To jump to the page containing the synchronized copy, right-click the shape, and then click the page name you assigned to the hyperlink.

Note  Changes you make to text and custom properties, as well as adding, replacing, or moving pictures on a shape, apply to all synchronized copies of the shape on other pages. However, changes such as adding, deleting, or repositioning a shape apply only to that shape and that page.

Tip

If you subsequently add shapes to a synchronized copy on one page, you can later update any other synchronized copy by right-clicking it, and then selecting Expand Subordinates.

1. Select the top-level shape that has subordinates you want to hide.
2. On the Organization Chart menu, click Hide Subordinates.
3. To show the subordinates again, right-click the shape, and then click Show Subordinates. You can also click Show Subordinates on the Organization Chart menu.
