Using Proofing Tools with multiple languages

Scenario: Rolf most frequently uses German as his primary language but sometimes he uses other languages to create and edit documents. When he uses the proofing tools, such as the spell checker, he needs the dictionary language to change to reflect the language that is being used

Solution: Add additional languages to the Enabled editing languages list so that their proofing tools can be used and set the Automatically detect languages feature. Depending on: (a) which language of Microsoft Office you installed on your computer, (b) the companion language tools that are part of that version, and (c) which language’s proofing tools that you want to use, you may need to install and configure additional Language Packs or Language Interface Packs.

  1. In an Office 2007 product, click the Microsoft Office Button Office button, click Options Word Options button, and then click Language Settings Language Settings button.
  2. ShowWhere is the Options button?

To find the Options button for:

    • Access
    • Excel
see Switch between different languages by setting the language.

To find the Options button for:

    • PowerPoint
    • Word
see Turn on automatic language options.

  3. In the Microsoft Office 2007 Language Settings dialog box, click the Editing tab, select the language in the Available editing languages list, and then click Add to add it to the Enabled editing languages list.
  4. Select your Primary editing language—that sets the default language used for the proofing tools. Microsoft Office Language Settings 2007 dialog box
  5. On the Review tab, in the Proofing group, click Set Language Set Language button.
  6. In the Language dialog box, make sure that the Do not check spelling or grammar option is clear, and select Detect language automatically so that you don't need to identify the language of portions of your document as being in a different language.
Language dialog box

Note   In some situations when there are multiple languages in a single document or the text in a different language is too short to be identified as a particular language, the Detect language automatically feature may cause spell checking problems. If you are having problems checking spelling or grammar when using multiple languages in a single document, clear this check box, select the text that is in a different language, and then manually set the language for that portion of the text.

Using keyboard shortcuts and the On-Screen Keyboard to help you type on another language

Scenario: Rolf is practicing typing in Russian and keeps forgetting which keyboard key is which Russian character.

If Rolf uses the Language bar on your taskbar to change his input language, the OSK changes to reflect the keyboard layout for that language and the text that he enters is also marked as that input language.

Or you can use the On-Screen Keyboard (OSK) to enter the accents and special characters.

  1. Click Start, Run, and then type
    osk
    in the text box.
  2. Click the on screen “keys” on the OSK to enter text, accents, or special characters.
  3. On-Screen Keyboard

See Insert ASCII or Unicode Latin-based symbols and characters, ASCII character chart, or Using the Windows Vista Character Map to enter special characters FAQ for information about special characters and how to insert them. Additionally, there's a small list of Western European language accent keyboard shortcuts in the Office discussion group.
