Show and hide subtasks
 

In an outline (outline: A hierarchical structure for a project that shows how some tasks fit within broader groupings. In Project, subtasks are indented under summary tasks.), you can show or hide the subtasks (subtask: A task that is part of a summary task. The subtask information is consolidated into the summary task. You can designate subtasks by using the Project outlining feature.) of a summary task (summary task: A task that is made up of subtasks and summarizes those subtasks. Use outlining to create summary tasks. Project automatically determines summary task information [such as duration and cost] by using information from the subtasks.). For example, you may want to hide your subtasks to display only top-level tasks, and then print that view (view: The combination of one or more views [Gantt Chart, Resource Sheet, and so on] and if applicable, a table and a filter. Use views to work with information in a variety of formats. There are three types of views: Charts or graphs, Sheets, and Forms.) to create a summary report (report: A format in which you can print schedule information that is appropriate for the intended recipients. You can use the predefined reports provided by Project or create custom reports.) of your project.

  1. On the View menu, click Gantt Chart.
  2. In the Task Name field (field: A location in a sheet, form, or chart that contains a specific kind of information about a task, resource, or assignment. For example, in a sheet, each column is a field. In a form, a field is a named box or a place in a column.), select the summary task containing the subtasks you want to show or hide.
  3. Click Show Subtasks Button image to show the subtasks or click Hide Subtasks Button image to hide the subtasks.

    To show all subtasks, click Show Button image, and then click All Subtasks Button image.

Notes

  • You can also show and hide subtasks by clicking the summary task's outline symbol. Outline symbols indicate whether a summary task has subtasks displayed Minus symbol or does not have subtasks displayed Plus symbol.

  • You can easily rearrange project phases in your outlined schedule. When you move or delete a summary task, you automatically move or delete all the subtasks associated with it.
