The ideal time to set up methods of communicating project information is right after you decide who will be working on your project team. You can select from the online team collaboration solutions supported by Project or use selected Project features to convey information. You can use any combination of the collaboration solutions to accommodate the people on your project team.

Set up Microsoft Office Project Web Access 2003 to collaborate
By publishing project information to Project Server and using Microsoft Office Project Web Access 2003 (Project Web Access: The Web-based user interface that is used to access information in Project Server.),
you can easily exchange project information
online with team members and other stakeholders (stakeholders: Individuals and organizations that are actively involved in the project or whose interests may be affected by the project.).
Click in the following order:
- Connect to Project Server
by using a Project Server (Project Server: A Project companion product that enables collaborative planning and status reporting among workgroup members, project managers, and other stakeholders by working with and exchanging project information on a Web site.) account and either Project Server authentication (authentication: The process of identifying a specific user and confirming that the user has permission to access Project Server.) or Microsoft Windows® authentication.
- Enter collaboration information for resources to enable project team members to communicate by using Project Web Access. Depending on your chosen method of authentication (authentication: The process of identifying a specific user and confirming that the user has permission to access Project Server.), you may need to enter their e-mail addresses or Microsoft Windows® user account (Windows user account: All the information that defines a user to the operating system, including the user name and any required password, membership in groups, and the rights and permissions that are associated with the user.) information.
- Publish new or changed assignments to Project Server to communicate newly assigned tasks (task: An activity that has a beginning and an end. Project plans are made up of tasks.) to team members or schedule changes that affect their assignments (assignment: A specific resource that is assigned to a particular task.).
- Republish assignment information
to recover data or to force an update of assignment information that doesn't affect scheduling,
for example, to restore a team member's lost assignments.
- Publish updated project information automatically
if you want team members to see changes to project information every time you save the project to Project Server.
- Set Project Server task delegation options to allow team members to delegate tasks to one another. When a task is delegated to another team member, that team member actually does the work on the task, although the person who delegates the task can review and approve the status and actuals (actual: Information that shows what has actually occurred. For example, the actual start date for a task is the day that the task actually started.) on the task before returning this information to the project manager.
- Specify the types of data to collect
from team members about tasks. Depending on how your organization is set up, a project manager or possibly a resource manager uses this information to update the project during the project.
Set up an alternative communication system You can exchange project information by sending or routing project files and sending notes to team members. This method does not allow you to easily incorporate updated information in your project. You must manually update your project with information that you gather from team members.
