Maximize your Mail pane space

Applies to
Microsoft Office Outlook® 2003

Are you tired of scrolling down the folder list in the All Mail Folders pane to get to important folders hidden below? Do you want to make the most of your Navigation Pane (Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.) "real estate"? Then try putting all your high-priority folders in the Favorite Folders pane and make it the primary folder list that you see, without having to scroll. Forget about the name of the pane — just let Favorite Folders become your main mail folder pane.

Expanded Favorite Folders pane

Callout 1 Just drag to add any mail folders that you want to the Favorite Folders pane. You can prioritize them in any order for quick, one-click access and no scrolling.

Callout 2The more folders that you move up to the Favorite Folders pane, the more that pane expands down the screen and the smaller the All Mail Folders pane becomes.

You can move any folders from the All Mail Folders pane to the Favorite Folders pane, including archives, Outbox, and Deleted Items. The more folders that you put in the Favorite Folders pane, the less you see in the All Mail Folders pane. However, you will have exactly the folders that you need right where you can quickly get to them — no scrolling unless you put a lot of folders in the Favorites Folders pane.

The folders don't even have to be in alphabetical order the way that they do in the All Mail Folders pane. You can arrange the folders in any order that you want, to make the list into whatever you need to do your work on a daily basis.

Tip  You can recover even more space in the Navigation Pane by removing the large buttons at the bottom of the pane and working from their smaller icons, which appear in a single row at the bottom of the pane.

Large buttons in Navigation pane

Callout 1 To maximize folder pane space, place your pointer over the horizontal split bar, and when the pointer turns into a double-headed arrow, drag the split bar down toward the bottom of the Navigation Pane.

Callout 2You can drag the arrow down to remove as many of the large buttons as you like.

Callout 3For each button that you remove from the pane, a smaller icon will appear in a single row at the bottom of the pane. To add the buttons back to the pane, drag the double-headed arrow up again.
