For POP3 (Post Office Protocol 3 (POP3): A common Internet protocol that is used to retrieve email messages from an Internet email server.) email accounts, you can specify how often to check for new items.
How do I know whether I am using a POP 3 email account?
This article assumes that you have already added your POP3 email account to Microsoft Outlook.
- Click the File tab.
- Click Account Settings, and then click Account Settings.
- On the E-mail tab, in the Type column, look for POP/SMTP.
- Click the Send / Receive tab, in the Send & Receive group, click Send/Receive Groups, and then click Define Send/Receive Groups.
Keyboard shortcut To open the Send/Receive Groups dialog box, press CTRL+ALT+S.
- Select the Send/Receive group that contains the POP3 email account that you want to change.
Note If you have not created custom Send/Receive groups, select the All Accounts group.
- Under Setting for group send/receive group name, select the Schedule an automatic send/receive every n minutes check box.
- Enter a number between 1 and 1440. The latter will schedule an automatic send/receive one time daily.
Note When you change the schedule for a Send/Receive group, all accounts in the group are changed, not just the POP3 email account.
- If you want, you can specify a schedule for send/receive when Microsoft Outlook is offline. Under When Outlook is Offline, select the Schedule an automatic send/receive every n minutes check box.
- Enter a number between 1 and 1440. The latter will schedule an automatic send/receive one time daily.
When you compose a message, and then click Send, by default, the message is sent to your mail server immediately when you are connected. This is not a feature of Send/Receive groups. To change this setting, do the following:
- Click the File tab.
- Click Options.
- Click Advanced.
Under Send and receive, select or clear the Send immediately when connected check box.
