Integration with other Microsoft Office system programs

ShowDo I need to use one of the 2007 Microsoft Office suites to run Office OneNote 2007?

No. You don’t need a 2007 Microsoft Office suite to use Office OneNote 2007. It can be used either as a separate, stand-alone program or in conjunction with other Microsoft Office system programs. However, there are some enhanced features customers can enjoy if they install both Office OneNote 2007 and other Microsoft Office system programs. For example, using Office OneNote 2007 with the 2007 or 2003 versions of Outlook enables two-way task synchronization between the two programs. Tasks created in Office OneNote 2007 will be added to your Outlook task list automatically, and updates made to your task list in Outlook will automatically flow back to Office OneNote 2007.

ShowHow does Office OneNote 2007 work with other Microsoft Office system programs?

Office OneNote 2007 can be used either as a stand-alone program or in conjunction with other Microsoft Office system programs which helps you to capture and work with information from all of the Microsoft Office system programs. You can:

  • Synchronize tasks between Office OneNote 2007 and the 2007 and 2003 versions of Outlook.

  • Use the Research task pane to look up information from an intranet or on the Web, as well as in online dictionaries, encyclopedias, thesauri, translation services, and reference materials.
  • Host a shared notebook on a SharePoint site.

  • The ability to print anything to Office OneNote 2007 that you would print to a printer.

ShowCan I open OneNote 2003 files in Office OneNote 2007?

Yes. You will still be able to use your OneNote 2003 notes after you upgrade to Office OneNote 2007. However, because the OneNote file format has changed, all OneNote 2003 files will be read-only in Office OneNote 2007, until you upgrade the files. When you first start Office OneNote 2007, an InfoBar will appear that will give you the option of upgrading your notes. An easy-to-follow dialog box will walk you through the simple upgrade process.

 Note   Office OneNote 2007 does not support backward compatibility with OneNote 2003. This means that after you upgrade your OneNote 2003 notes to the Office OneNote 2007 format, you will no longer be able to open these notes in OneNote 2003.

Working with Office OneNote 2007

ShowWhy isn’t there a Save command or button in Office OneNote 2007? How do I save my notes?

Anything you type, write, draw, or otherwise capture in Office OneNote 2007 is always automatically saved for you every 30 seconds. If you want to force a save at any point, you can press CTRL+S.

ShowDoes Office OneNote 2007 automatically back up notes? How does backup work?

Yes, Office OneNote 2007 automatically backs up your notes whenever the program is running. Backups will not be created when Office OneNote 2007 is not open and running. Office OneNote 2007 will back up any files in your OneNote Notebooks folder (located in My Documents), as well as the originals of any files you have shortcuts to in your OneNote Notebooks folder. Backups occur in the background while the program is running, so errors and authentication dialog boxes are suppressed.

 Note   If you have OneNote files saved on a Web server that requires you to log on, and you do not click “automatically log me in on this computer,” then these files will not back up automatically.

ShowHow often are Office OneNote 2007 files backed up, and how many copies are saved?

By default, Office OneNote 2007 backs up your .one files once per day, and saves two copies of the backup file, one from the present day and one from the previous day. You can change the frequency of backups and the number of backup files saved by going to the Tools menu and clicking Options and then selecting Backup.

ShowWhere are backup notes saved? Can the location of Office OneNote 2007 backup files be changed?

By default, Office OneNote 2007 saves your backup .one files to C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\OneNote\Backup\notebook name. To customize the location of your backup files, go to the Tools menu and click Options then click Open and Save, then select Backup, and then click Modify to enter the new location.

ShowAre there any restrictions to the number of notebooks or sections within a notebook that can be created?

You can create as many notebooks and sections with Office OneNote 2007 as you have space for on your hard disk.

ShowCan files be stored on an Office OneNote 2007 page?

Yes. You can drag any file from Microsoft Windows Explorer onto a page, or you can click Files on the Insert menu.

 Note   This feature is available only in Office OneNote 2007.

ShowCan other file types such as a PDF file or Word document be imported into Office OneNote 2007?

Yes. You can send any file from an application with printing capabilities to Office OneNote 2007, and the file will appear in Office OneNote 2007 as an image. The print dialog box of the chosen application will give you this option: Microsoft OneNote Import. After a document or portable document file format (PDF) file is printed to your OneNote notebook, Office OneNote 2007 will use optical character recognition to index the content so that you can search for it later.1

Shared notebooks

ShowHow does Office OneNote 2007 synchronize data from shared notebooks stored on a file share or another user’s computer?

When a notebook is stored at a network location or Windows SharePoint Services site, Office OneNote 2007 maintains a full offline copy of the notebook on the computer where you open the notebook. When you work with your notes in the offline version of the notebook, Office OneNote 2007 automatically merges any changes when you reconnect to the network.

ShowWhen I make a change on a page of a shared notebook while another user is making a change to the same page, will there be a conflict?

Although rare, conflicts can occur when users make changes to the same material on the same page in the same section at the same time. When a conflict occurs, an InfoBar will appear showing you the different versions of the page, with the conflict areas in highlight. Users can then resolve the conflicts quite easily.

OneNote Mobile

ShowWhat does OneNote Mobile do?

OneNote Mobile enables you to:

  • Capture and review multimedia notes on your phone, which may include text, pictures, or voice recordings.
  • Take a part of your OneNote notes from your PC with you, using the new mobile notebook and synchronize edits you’ve made on your phone with OneNote.
  • Use your camera phone as an input device for OneNote, for taking pictures of whiteboards, maps, signs, business cards or customers.

ShowDoes Office OneNote 2007 work with the Pocket PC or SmartPhones?

Yes. Office OneNote 2007 operates with Microsoft Windows Mobile–based Pocket PCs and Windows Mobile–based Smartphones. Notes and audio recordings captured on a Pocket PC or Smartphone can be imported to Office OneNote 2007. To use your Smartphone or Pocket PC with Office OneNote 2007, connect your mobile device to your computer, and then start Office OneNote 2007. If Office OneNote 2007 is already running, reconnect the mobile device to your computer. A dialog box will prompt you to set up Office OneNote 2007 to automatically or manually import notes and recordings.

 Note   To copy notes from your Pocket PC to OneNote 2003 Service Pack 1, you must install and configure Microsoft ActiveSync 3.7 or later on your computer. ActiveSync is the synchronization software for Windows Mobile–based Pocket PCs and Smartphones. You can download the latest version of ActiveSync.

ShowIf I have OneNote Mobile preinstalled on my Windows Mobile–powered device, can I synchronize my notes with Office OneNote 2003?

You cannot synchronize with OneNote 2003 or OneNote 2003 SP1. Office OneNote 2007 is required for synchronization.
