Turn on POP or IMAP access to connect to another account

Before you connect to download mail from another email account, you may need to turn on POP or IMAP access from the other account. This article provides information about which frequently used email services require you to turn on POP or IMAP access. If you're connecting to an account that's not mentioned here, make sure POP or IMAP access has been turned on before you try to connect.

Outlook.com

You don’t need to turn on POP or IMAP access for an Outlook.com (formerly Hotmail) account. If you have folders in your Outlook.com account, these folders are copied to your account in Outlook Web App along with the email downloaded from your Outlook.com account.

Gmail

To connect to your Gmail account from Outlook Web App , you need to turn on POP access in Gmail settings. You also need to specifically allow Outlook Web App to access your Gmail account.

In Gmail settings, turn on POP access

  1. Sign in to your Gmail account.
  2. Click Settings > Forwarding and POP/IMAP.
  3. Under POP Download, select one of the following options:
  • Enable POP for all mail (even mail that's already been downloaded) If you select this option, all old and new email will be downloaded to your Outlook Web App account.
  • Enable POP for mail that arrives from now on If you select this option, only new email will be downloaded to your Outlook Web App account.
  1. If you want Gmail to keep a copy of mail sent to your Gmail email address in your Gmail inbox, under When messages are accessed with POP , select Keep Gmail’s copy in the inbox.
  2. Click Save Changes.

Allow Outlook Web App to access your Gmail account

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts > New new. Type the email address and password for your Gmail account and click Next. When you click Next, Outlook Web App tries to access your account using the secure password you entered in the previous step. As a security precaution, Gmail does not immediately grant Outlook Web App access to your Gmail account. Instead, Gmail sends a notification message to your Gmail inbox.
  2. Open your Gmail inbox.
  3. Open the message from the Google Accounts Team titled Suspicious sign in prevented. The message indicates that someone recently tried to use an application to sign in to your Google account.
  4. Follow the steps in the message to allow Outlook Web App to send and receive email in your Gmail account.

Yahoo! Mail Plus, Comcast, AOL

These services give you POP access automatically and they don't support IMAP access.

IMAP access

Outlook Web App supports IMAP access for most services, except Gmail. With IMAP access, your folders and mail items within those folders are downloaded to Outlook Web App the same way you see them in your other account. If your other account allows IMAP access, make sure that IMAP access is turned on before you connect to the account.
