Create and send a fax in Office XP

When you need to send a fax in Office XP, you can use the Print command in one of the Office programs or you can send and receive your faxes in your Outlook 2002 Inbox.

What do you need to send a fax in Office XP? To use either of these methods, you must install and set up fax software and hardware (such as a fax modem). Additionally, if you don't have a fax device (the hardware), or if you don't want to tie up your telephone line while sending a fax, you can connect to faxing services on the Web that allow you to send a fax over the Internet. For a list of faxing services on the Web that work with Microsoft Windows® 2000 and Microsoft Windows NT®, see the Internet Fax link on the Windows NT Fax Solutions Web page. (This list is provided by a third party unaffiliated with Microsoft, and Microsoft has not undertaken any independent verification of the compatibility of these services with Microsoft Windows 2000 or any other Microsoft product.)

Supported fax software

Your operating system likely includes fax software — for example, Windows 2000 Fax Service. (For details, see Windows Help.) Or if you purchased your own fax software such as Symantec™ WinFax Pro 9.0, see the documentation for that software for details. Symantec WinFax Starter Edition (SE) is not supported in Office XP.

Use the Print command in an Office program

The first procedure is useful for Microsoft Excel 2002, Microsoft PowerPoint® 2002, or Microsoft Access 2002, while the second procedure is useful for Microsoft Word 2002.

To fax an Excel workbook, PowerPoint presentation, or Access report

  1. Open the workbook, presentation, or report you want to fax.
  2. On the File menu, click Print.
  3. In the Name list, select the fax driver you want to use. (A fax driver is software that allows you to send a fax from your program using the program's Print command.)

To create and send a fax in Word

In Word, you can use the Fax Wizard to automate the task of creating and sending your fax and including a fax cover sheet.

Note  If you are using Microsoft Fax, read (Q290971) WD2002: Unable to Select Microsoft Fax in Fax Wizard first.

  1. On the File menu, click New.
  2. In the New Document task pane, under New from template, click General Templates.
  3. Click the Letters and Faxes tab.
  4. Double-click the Fax Wizard.
    If you do not see this wizard in the Templates dialog box, you may need to install it. For more information about installing individual Office components, see Help in Word.
  5. Follow the steps in the wizard.

Notes

  • If you don't have a fax machine or don't want to tie up your phone line, you can click Internet Faxing Options in the wizard to connect to the Web for faxing services instead.
  • Your faxing hardware or software may provide additional ways to send faxes. For more information, consult the documentation that came with your product.

If you want to send the same fax document to a group of people, you can use the Mail Merge Wizard. Send and receive faxes in the Outlook Inbox

Outlook 2002 does not support Microsoft Fax (previously known as At Work Fax) or Symantec™ WinFax Starter Edition. A note about Microsoft Fax

Microsoft Fax is a faxing application that requires a Full MAPI client to operate, such as Microsoft Exchange, Windows Messaging, Microsoft Exchange Server Client, or Outlook 97. Microsoft Fax was originally shipped with Windows for Workgroups as At Work Fax. It was later updated to Microsoft Fax and included in Windows 95, OSR2 and OSR2.5. A version of Microsoft Fax was included on the Windows 98 CD-ROM only to reinstall files if the upgraded component became damaged. Using these files on non-upgrade installations of Windows 98 was not fully tested by Microsoft.
