Deleting a Contact

You can delete a contact from all the groups in your Contacts list. Deleting a contact from your Contacts list does not remove the user from your organization's address book, your Outlook Contacts folder, or the Windows Address Book. The contact's name can still appear as a search result in the Find results area.

ShowTo delete a contact

  1. In the Microsoft Office Communicator window, locate the contact that you want to delete in the Contacts list.
  2. Right-click the contact name, and then click Remove from Contact List.
  3. Click Yes to confirm.

Creating a New Group in Your Contact List

You can set up separate group lists to help manage your contacts. For example, you can set up groups for people who work on different project teams, for people who share a sales region, or for people who share certain activities. Groups are useful for identifying who should be involved in conversations and conferences.

ShowTo create a new contact group

  1. Do one of the following:
    • On the Contacts menu, click Create New Group.
    • Right-click a group heading, and then click Create New Group.
  2. In the Contacts list, type the name of the new group over the highlighted New Group text.

After you create a new group, Communicator automatically creates a group name Other Contacts. Contacts from your Windows Messenger 5.0 contact list are placed in the Other Contacts group. You can move these contacts to another group, but you cannot rename the Other Contacts group. If you move or delete all the contacts in the Other Contacts group, the group is automatically deleted.

Moving or Copying Contacts to Other Groups

You can include a contact in as many groups as you want. You can copy a contact into more than one group, and you can move a contact from one group to another.

ShowTo move a contact to another group

In the Microsoft Office Communicator window, under Contacts, right-click the contact that you want to move, and then click Move Contact To. You can also drag a contact from one group and drop it in another group.

ShowTo copy a contact to another group

In the Microsoft Office Communicator window, under Contacts, right-click the contact that you want to copy, and then click Copy Contact To.

Removing Contacts from Groups

You can remove a contact from a group without entirely removing the contact from your Contacts list. When a contact has been removed from all groups that you have created, the contact is automatically placed in the Other Contacts group.

Removing the last instance of a contact in your list deletes the contact entirely.

ShowTo remove a contact from a group

  1. In the Microsoft Office Communicatorwindow, under Contacts, click the arrow to the right of the contact name.
  2. Click Remove from Group.

    Note  If the there is only one instance of a contact name left in the list, a warning message appears asking if you want to permanently remove the contact from the list.

Renaming a Group

You can rename a group and keep the contacts within the group intact.

ShowTo rename a group

  1. In the Microsoft Office Communicator window, in the Contacts list, locate the group that you want to rename.
  2. Right-click the group name, click Rename Group.
  3. Type the new name for the group, and then press ENTER.
