Workflows IV: Include someone outside your company

The Start "Approval" page with e-mail addresses for Amy, Brian and Cassie; the message says to Cassie: "Please provide feedback as well, however, type your feedback in an e-mail message"

For Microsoft Office Excel and PowerPoint files, ask your outside participant to provide feedback in an e-mail message.

If you are using an Excel or PowerPoint file in the Collect Feedback workflow, the story is a little different. There isn’t an easy way to merge the outside participant’s file with the file in the library. So, when you start the workflow and type the message for instructions, ask your outside participant to provide feedback in an e-mail message to you. That way you, as the liaison, can read their feedback and then integrate their changes into the file in the library manually. It’s not the most ideal situation, but it’s the best one available.

Tip    In general, when involving outside participants, it’s best to set up your library to support versioning, just in case you need to refer to an older version of the file. See the Quick Reference Card at the end of this course for details.
