Why can’t I edit some Microsoft Office documents on my phone?

- You might not be able to edit some documents on your phone depending on what's in it or how it was last saved. Here are some of the more common things that make a document read-only on your phone.

The file is:

  • Saved as an older type of Microsoft Office document, such as a Microsoft Word 97-2003 document (.doc), Microsoft Excel 97-2003 workbook (.xls), or Microsoft PowerPoint 97-2003 presentation (.ppt).
  • Digitally signed.
  • Marked as final.
  • Protected using rights management.
  • Protected with a password.
  • Protected with restricted editing rights.

Microsoft Word documents are read-only if they have:

  • Track Changes enabled.
  • Frames.
  • Custom markup (custom XML, Structured Document Tags (SDT), or smart tags)
  • XML tags with unsupported values.

Also, there are cases where you can edit the Word document but can’t edit certain sections like:

  • If a select section contains an image or clipart.
  • TOCs.

Microsoft Excel workbooks are read-only if they have:

  • Functions that aren’t supported on the phone.

 Note    The following functions are supported in Office for iPhone.

  • OLE objects or ActiveX controls.

For Microsoft PowerPoint presentations on your phone, you can only make certain types of edits like editing text in a text box, adding or editing notes, changing the order of slides, or hiding slides.

Connect to OneDrive or SharePoint

To connect to OneDrive or SharePoint follow these steps:

  1. Tap Open.

Open a file from SharePoint

  1. Tap Add a Place, and select the service you used to save your documents, and then sign in with the required credentials.

 Note    If you’re in a sub-folder, tap Back and go to the screen that says Add a Place.

  1. Tap the service where your document is saved, and then tap on the document to open it.

View and edit documents from SharePoint

The best way to get your Office documents that are stored SharePoint is to open them from the free OneDrive for Business app that’s available in the App Store.

Once you have the OneDrive for Business app installed follow these steps to open a Word, Excel, or PowerPoint document:

  1. In OneDrive for Business, tap the Word, Excel, or PowerPoint document you want to open. A read-only version of the file opens.
  2. Tap OneDrive for Business Edit icon on iOS mobile devices to edit your document with Office for iPhone.

Yes, you can continue to work on your Office document when you’re offline. When you’re ready to save your changes back to the server, be sure you’re connected to the Internet, then tap File > Save.

How do I get to my documents from a different Microsoft account?

  1. From the Office Hub, tap Settings.
